The only outreach metric that survives contact with a finance team

Opens are unreliable, replies are ambiguous, and pipeline is a forecast. A meeting that happened is a fact. So meetings are recorded as first-class objects — with which channel booked them and how they actually went, including the ones nobody turned up to.

The only metric that survives

Every other number in outreach analytics is contested. Email opens are distorted by image blocking and privacy proxies. A reply might be “remove me”. Pipeline value is a guess with a currency symbol. A meeting in a calendar is the first point in the funnel where a claim becomes checkable, which is why it is the number worth optimising toward.

The route is stored on the meeting, so 'which channel produces meetings' is a question with an answer rather than an impression.

What a meeting records

  • Who it is with — a lead, or just a name and number where the contact is not a formal lead yet. A WhatsApp reply from someone you never imported still produces a real meeting.
  • When it is scheduled for.
  • How it was booked.
  • How it will happen — phone, or a video link.
  • Notes.
  • How it went.

Four outcomes

  • Scheduled — booked, not yet happened.
  • Completed — it happened.
  • No-show — it did not, and nobody said so in advance.
  • Cancelled — called off.

Four rather than two, because “cancelled” and “no-show” mean different things about the lead and about the channel that booked them.

What it does not do

  • It is not a full calendar. It records meetings that came out of outreach; it is not where you manage your week.
  • It does not run the meeting, take notes, or transcribe it.
  • It does not forecast. A meeting is a fact; what it is worth is your judgement.
  • It does not chase a no-show automatically. That is a decision, not a rule.

Questions

Can someone book a time themselves?
Yes — a booking link can go in a message on any channel, and a self-booked meeting is recorded as such. Knowing whether a meeting was booked by your AI voice agent, arranged over WhatsApp, or booked by the prospect on their own is worth more than the count.
Do I need a calendar account?
Meetings are backed by a calendar booking system, so scheduling, time zones and availability are handled by something that specialises in it rather than reimplemented badly.
Why record no-shows at all?
Because a channel that books meetings nobody attends is not working, and without the no-show count it looks like it is. It is a small penalty on the lead score — five points — because people miss meetings for ordinary reasons, but the number needs to exist.
