The template is the whole game
Almost everything that goes wrong with WhatsApp marketing goes wrong at the template: what it says, which category it was filed under, and whether the people receiving it wanted it. This page is a practical account of Meta’s review — what a template is, what gets one rejected, and why B2B is the easier case to get right.
B2B is the easier case
Most WhatsApp marketing advice is written for consumer brands running offers to large opted-in lists, and it optimises for volume. B2B outbound has the opposite shape: small lists, high value per conversation, a recipient who is at work and whose number is published for exactly this kind of contact.
That shape is genuinely easier to do lawfully and well. A specific message to two hundred businesses that plausibly need what you sell will outperform a broadcast to twenty thousand, and it will not cost you your number.
What a template is
A message written in advance, submitted to Meta, and reviewed before you can send it. Parts that change — a name, a city, a date — are variables. Everything else is fixed, and changing it means review again.
The reason it exists: a business messaging someone who has not written to it first is the case with the most potential for abuse, so the platform wants to see the message before it goes. Once the recipient replies, a 24-hour window opens and you can write normally. The window, in full.

Filing a promotional message as utility to get an easier review is the miscategorisation Meta is most alert to, and it is treated as what it is.
Cold B2B outreach is marketing. Say so on the form; the review is survivable and being caught reclassifying is not.
What gets rejected
- Wording that reads as a promotion filed under a non-promotional category.
- No way to opt out, on a message that clearly needs one.
- Placeholders that could resolve to anything — a template that is mostly variables is a blank cheque, and gets read as one.
- Content in a prohibited category. Meta publishes the list; it is not negotiable and not worth testing.
- Wording that implies a relationship that does not exist — "as discussed", "following up on our call" — to a business you have never spoken to.
The last one is worth dwelling on because it is the most tempting. It also converts a cold message into a misleading one, which is a different category of problem from a rejected template.
Quality rating
Meta scores your number on how recipients react — blocks and reports push it down. A falling rating lowers your messaging limits, and a low enough one restricts the number entirely.
This is the mechanism that makes WhatsApp self-correcting, and it is why the volume strategy that works on email fails here. You cannot send your way out of a bad list; you can only stop.
What good practice looks like
- Write the template for one specific reader, not for a segment. B2B lists are small enough to afford it.
- Say who you are and why you are contacting this business, in the first line.
- Make the opt-out obvious, and honour it immediately — this is what protects the rating.
- Score the list before you spend a template on it, so the message goes to the businesses it plausibly fits.
- Send in business hours. The default send window is Monday to Friday, 9:30am–6:30pm IST for a reason.
None of that is a growth hack. It is the version of WhatsApp marketing that still has a working number in a year.

- How long does template approval take?
- Meta reviews it, not Rechlio, and the time varies — often minutes, sometimes considerably longer. Plan a campaign around having templates approved in advance rather than submitting one the morning you want to send.
- Can I edit an approved template?
- Changing the wording means review again. This is why templates are written with variables for the parts that change — the name, the city, the product — and fixed wording for everything else.
- What actually happens if my quality rating drops?
- Meta lowers your messaging limits, and can restrict the number. The inputs are blocks and reports from the people you message, so the rating is essentially a measure of whether your recipients wanted to hear from you. There is no way to argue with it, only to send better.
